To get an overview of the transport chain of a release note, use the PT.20.12 Release Note Summary screen. This screen allows you to create additional means of conveyance (MOC), assign a release note to a MOC that already exists, remove the assignment of a release note to a MOC, or set data such as the collection point or the bill of lading or air way bill number.

This screen is a core workflow screen. For more information, see Core Workflow Screens.

In the first (Release Notes) block, you can query for all release notes that have already been created. The name of the corresponding order can be seen in the window title. There you can also see the forecasted and actual dates for the arrival on site (AOS).

The Release Note Number field displays the name/number of the release note. If the release note is approved, the background color of this field is set to magenta. To view the packages that have been defined for this release note, you can double-click in this field. The P.70.74 Packages screen opens, and the selected release note is displayed. Open the pop-up menu with a right mouse-click in this field and select P.70.72 Expediting Details to open P.70.72 where you can modify the selected release note.

The Number of Packages field shows the total number of packages for the release note, that is, the sum of the Quantity fields in the second block on the With Release Notes tab of the P.70.74 Packages screen.

The Total Gross Weight field shows the total gross weight of all packages defined for the selected release note. The weight is calculated as the product of the package quantity and the gross weight of the package. The weight unit of the total gross weight is displayed in the Weight Unit field.

The Total Volume field shows the sum of the total volume of all packages. The total volume of a package is calculated as the product of the quantity (number of packages) and the volume of the package. The volume of a package is calculated as the product of x-, y-, and z-dimension if the dimensions have been entered. Alternatively, the dimensions can be set to 0 and the volume (for a quantity of 1) can be entered directly. The total volume is calculated for the unit defined by project default ZX_VOLUME. The unit of the total volume is displayed in the Volume Unit field.

The Total Freight Ton field shows the sum of the freight tons of all packages that have been defined for the release note.

The MMT Number field displays the name/number of the material movement ticket (MMT) to which the release note has been assigned. This assignment is done on the MMTs tab of the P.70.72 Expediting Details screen. The revision of the MMT is displayed in the Rev field. If a release note can be found on more than one revision of an MMT, the highest revision is shown.

The Delivery Designation field shows the name of the delivery designation of all item shipments on the release note. The Routing Method field shows the name of the routing method of all item shipments on the release note. The Incoterm field shows the name of the incoterm of all item shipments on the release note. The Delivery Place field shows the delivery place of the material.

The date when the material can be picked up can be selected from the LOV in the Ready Date field. This information is to be entered by the supplier or comes from the supplier. This date is copied over as the actual date to the destination of the routing method that has been marked as 'Hand-Over Point'. A ready date can only be entered as long as no bill of lading or air way bill number has been entered for the release note on any means of conveyance.

In the Collection Point field, you can enter the precise delivery place of the material as named by the supplier. This delivery place can be but may not be the same the delivery place of the release note. The delivery place entered here is not used in any way by the traffic tree on PT.20.01. A collection point can only be entered as long as no bill of lading or air way bill number has been entered for the release note on any means of conveyance.

The date when the transport of the material has been released to the freight forwarder can be selected from the LOV in the Release to Forwarder field. A date can only be entered as long as no bill of lading or air way bill number has been entered for the release note on any means of conveyance.

The estimated transit time of the release note is displayed in the Transit (E) field. This transit time is calculated as the difference between the ETD date of the first means of conveyance and the ETA date of the last means of conveyance.

The actual transit time of the release note is displayed in the Transit (A) field. This transit time is calculated as the difference between the ATD date of the first means of conveyance and the ATA date of the last means of conveyance.

The second (Means of Conveyance) block gives you an overview of all means of conveyance to which the selected release note has already been assigned directly or indirectly via a material movement ticket (MMT).

You can create further means of conveyance (MOC), assign the release note (directly) to MOCs that have already been defined, delete the direct assignment of the release note to a MOC (but not the MOC itself), or update the bill of lading (B/L) or air way bill (AWB) number or the shipping destination.

If a release note has been assigned via an MMT to a MOC, you cannot delete this assignment here. This action can only be done on the PT.20.11 screen by removing the complete MMT from the MOC.

The Ordered by field shows you by which fields the records currently displayed are ordered by. By default, the data is ordered by ETD date. To change the order criteria, click the Order By ... button at the bottom of the screen or select 'Order by this field ascending' or 'Order by this field descending' from the pop-up menu available on the field level.

The name of the carrier is displayed in the Carrier Name field. To assign the selected release note to a means of conveyance (MOC) that has already been defined, select a MOC from the LOV in this field. In this case, all MOC fields such as voyage or flight number, loading and unloading point, or any of the date fields cannot be modified in any way. This action can only be done on the PT.20.11 Means of Conveyance screen except for loading point and unloading point.

But you can also create a new means of conveyance to which the release note will then be assigned. In this case, you must enter not only the name of the carrier but also at least the voyage or flight number, the loading and unloading point, the ETD and ETA date, and the first name of the MOC.

You can double-click in the Carrier Name field to open the PT.20.11 Means of Conveyance screen.

The Voy or Flt Num field displays the number of the voyage or the flight.

The Loading Point field displays the name of the delivery place or destination where the transportation starts. You can enter any delivery place of any release note or any destination that has been defined on P.10.52 Destinations. If you enter a value that cannot be found as a delivery place nor as a destination, the entry is interpreted as a new destination. The system will automatically create a new entry on P.10.52 that will be available for future use.

Delivery places can be entered in mixed case with a length of up to 40 characters. Destinations are always defined in uppercase with a length of up to 30 characters. Therefore, when entering an unknown value, the length of the entry is restricted to 30 characters. You can enter the value using mixed case but the data will be stored with uppercase.

If the loading point represents a delivery place, that is, the start of the transport chain, the background color of this field is set to green.

The Unloading Point field displays the name of the destination or delivery designation where transportation ends. You can enter any destination that has been defined on P.10.52 Destinations or any delivery designation that has been defined on A.10.39 Delivery Designations. If you enter a value that cannot be found as a destination nor as a delivery designation, the entry is interpreted as a new destination. The system will then automatically create a new entry on P.10.52 that will be available for future use.

If the unloading point represents a delivery designation, that is, the end of the transport chain, the background color of this field is set to green.

Select the estimated time (date) of departure from the LOV in the ETD Date field. If the loading point of a transportation is the same as the destination marked as 'Shipping' in the Date Type field of P.10.53 Routing Methods, the ETD date of the means of conveyance is copied over as the forecasted date for this destination for the item shipments of all release notes that are assigned to the means of conveyance. If the loading point does not represent such a destination, but a shipping destination has been assigned to the release note for this means of conveyance, the ETD date is copied over to that shipping destination.

Select the estimated time (date) of arrival from the LOV in the ETA Date field. If the unloading point of a transportation is the delivery designation of a release note, the ETA date of the means of conveyance is copied over as the forecasted date for the destination marked as 'Traffic Arrival' in the Date Type field of P.10.53 Routing Methods for the item shipments of all release notes that are assigned to the means of conveyance. If the unloading point does not fulfill this criterion, but a shipping destination has been assigned to the release note on this means of conveyance, the ETA date is copied over to the destination of type 'Traffic Arrival'. In both cases, if no destination of type 'Traffic Arrival' exists but a destination of type 'Arrival On Site' does exist, this one will be updated instead.

The Transit Days (E) field displays the estimated number of days needed for the transportation. This transit time is calculated as the difference between the ETD date and the ETA date.

The ATD Date field shows the actual time (date) of departure. If the loading point of the MOC is the same as the destination marked as 'Shipping' on P.10.53 Routing Methods, the ATD date is copied over as the actual date for this destination to the item shipments of all release notes assigned to the means of conveyance. If the loading point does not represent such a destination, but a shipping destination has been assigned to the release note on this means of conveyance, the ATD date is copied over to that shipping destination.

The ATA Date field shows the actual time (date) of arrival. If the unloading point of the means of conveyance is the delivery designation of the assigned release notes, the ATA date is copied over as the actual date for the destination marked as 'Traffic Arrival' on P.10.53 Routing Methods for the item shipments of all affected release notes. If the unloading point does not fulfill this criterion, but a shipping destination has been assigned to the release note on this means of conveyance, the ATA date is copied over to the destination of type 'Traffic Arrival'. In both cases, if no destination of type 'Traffic Arrival' exists but a destination of type 'Arrival On Site' exists, this one will be updated instead.

The Transit Days (A) field displays the number of days the transport actually needed. This transit time is calculated as the difference between the ATD date and the ATA date.

You can enter the invoice number in the Invoice Number field, and the amount of the invoice in the Amount field, with its currency in the Currency field. You can select the currency from the LOV, and you can double-click in this field to open the A.10.12 Units of Measure screen where currencies are defined.

The Name 1/Name 2 fields can be used to enter the first/second name of the vessel, plane, truck, and so forth.

Enter the bill of lading (B/L) or air way bill (AWB) number in the B/L or AWB field. The bill of lading or air way bill number can only be entered or modified if the release note has already been approved. Once such an entry has been made, the approval of the release note cannot be reversed (on P.70.72). This field is only available for MOCs to which a release note has been assigned directly.

The Shipping Destination field displays the destination for the release note marked as 'Shipping' in the Date Type field of P.10.53. This field is optional. When release notes are added to a means of conveyance, this destination is automatically filled with the corresponding destination based on the routing method of the release note. If no shipping destination can be found in the routing method or if more than one shipping destination exists, this field remains empty by default. In the case of multiple shipping destinations, it is up to you to select one of them and fill it in. The list of values only offers those destinations of the routing method of the release note that are of type 'Shipping'. This field is only available for MOCs to which a release note has been assigned directly.
