Email setup includes creating email templates, distribution categories, and template sets.

  • Email templates are used for sending automatic emails for specific events such as inquiry approval, finalization of a quote and so on.

  • Distribution categories are used to define mailing lists with a list of email recipients to be sent by the application.

Create email templates

Email templates are used for sending automatic emails for specific events such as inquiry approval or finalization of a quote and so on. You can define your own text templates to use for emails.

If the checks are successful, the application displays a message This template is ready to use, else an error message is displayed.

  1. From the Home screen, select Administration > Global Setup > Email Setup > Templates and click Create Template.

  2. Type the template name and select a template type from the Type list.

  3. Enter the template description.

  4. Type an email subject.

  5. Enter the body text for the email, and then click Save.

  6. Click Compile.

Create email template sets

Template sets are used to send mails when a requisition is released to procurement.

  1. Select Template Sets from the Email Setup screen, and click Add Row.

  2. Type the template set name in and comments in respective cells.

  3. Select a distribution category from the Distribution Categories list, and then click Save.

  4. In the Template Set Details block, click Add Row.

  5. Select an email template from the Email Templates list, and then click Save.

Create distribution categories

You can use Distribution Categories screen to define mailing lists with a list of recipients who are to be sent emails by the application. You can also use the Copy from Project option to copy the distribution list from a different project.

  1. Select Distribution Categories from Email Setup screen.

  2. In the Distribution Categories section, click Add Row.

  3. Enter the distribution category, short description, and description.

  4. Select Yes in the Master cell to make the distribution category as the master with respect to the Reviewer in the Email List.

  5. To add an email to the distribution list, click Add Row in the Distribution Category Details.

  6. Select an email recipient from the Users list.
