The SAP PM Console Page allows users to:

  • View useful information about the SAP PM Data

  • Trigger synchronizations with the SAP Server

  • Download and upload the functional location mappings

The figure below shows a screenshot of the SAP PM Console, that can be found under the "SAP PM" menu in j5.

1. Import WRO data - Synchronize Work Orders, Operations and Notifications with SAP

This button will trigger a full synchronization of the SAP WRO Data with the configured SAP server (illustrated in SAP Work Orders, Operations and Work Notifications Synchronization Overview). It will also retrieve any new or changed Work Orders and Notifications, and any Operations linked to the Work Orders that have been retrieved.

This operation may take some time to complete, depending on the size of the dataset and how many changes have been made. The status message will clear once this is complete.

2. Remap WRO data

If the mapping of the functional locations and areas, or the equipment to asset mapping has changed (such as if a change is made in the SAP Maintenance Plant Map application and SAP Functional Locations application), this will be remapped for work orders and locations.

3. Import from SAP - Synchronize Functional Locations and Equipment with SAP

This button will trigger a full synchronization of the SAP PM Data (Functional Locations, Equipment, etc) with the configured SAP server (illustrated in SAP Functional Locations and Equipment Synchronization Overview).

This operation may take some time to complete, dependant on the size of the data set and how many changes have been made. The status message will clear once this is complete.

4. Apply Asset Mapping

This button will trigger a synchronization of the imported SAP Equipment to the j5 Asset Register. This should be used when functional location area mappings have been updated and these changes should be reflected in the Asset Register. Applying the Asset Mapping is one of the tasks done when the "Import from SAP" button is pressed but clicking the "Apply Asset Mapping" button will not trigger the full synchronization of importing equipment, etc and only perform the necessary mapping.

The status message will clear once this is complete.

5. Status Update/Last Sync

A Sync or Upload status will appear when an action is performed. This will notify the user of the action and will only disappear once the action is complete. The Status update will always appear to the right of the Sync buttons. The date and time that the last "Import from SAP" took place will also appear here.

6. Summary Data

In the center of the page beneath the dark grey bar, is the informational part of the SAP PM Console (6). This contains the following data. Each link will direct the user to the j5 configuration page with the described data.

Functional Locations - The number of Functional Locations.

  • Enabled - The number of Enabled Functional Locations.

  • Disabled - The number of Disabled Functional Locations.

  • Unmapped - The number of Functional Locations that have not been mapped to areas.

  • Equipment - The number of equipment items in the system.

  • Work Orders - The number of Work Orders in the system. (Only present when j5 WRO is installed)

  • Notifications - The number of Notifications in the system. (Only present when j5 WRO is installed)

7. Upload

This button is used to upload an XLSX with updated Functional Location area mappings. The format of this document must match that of the one that can be downloaded when using the download button.

  • If the upload is successful: Once the upload is finished, the status message will display "Upload Successful" and then clear itself. The Recent Uploads section will update with information about the number of changes.

  • If the upload contained errors: Once the upload is finished, the status message will display "Upload Errors" and the errors that were encountered will be displayed beneath the informational part of the page.

8. Download

This button is used to download an XLSX file containing the latest area mappings for the functional locations. It can then be uploaded with edits using the Upload button.

9. Recent Uploads

This is a list of the most recent successful uploads performed. The format of each log contains the following:

  • Date and Time of the upload

  • Number of Area changes. (1st, the black number)

  • Number of Functional Locations Enabled. (2nd, the green number)

  • Number of Functional Locations Disabled. (3rd, the red number)

10. Refresh Button

A refresh button is available in the top right hand corner. This will cause the page to update and display the latest information.
