Create operator round plan

  1. Select Operations > Operator Rounds Planning.

  2. Select Add

  3. Enter the round details:

    • Title (required) - Enter a name for the round. This appears in the Operator Rounds list view.

    • Site, Section, Area, Unit - Select the relevant areas for the round.

    • Round Type - Select the type of round. The default type options are Maintenance, General Inspection, and HSE. To configure round types, see Configure operator round types.

    • Assigned To - Assign the round to a user group (top of the list) or user profile. The selected areas determine what user profiles appear in the Assigned To list.

  4. Schedule the round. See Schedule settings

    A schedule can be Ad-hoc, Simple, Advanced, Shift-based, or On-demand.

    • Ad-hoc - Repeats as needed. Ad-hoc schedules don't repeat automatically but they can be rescheduled and reused multiple times. The scheduled task is completed only once per schedule (for example, emergency maintenance).

      Ad-hoc schedule settings

      Select the Ad-hoc schedule type.

      • Start Time - When the scheduled task is due to start.

      • Finish Time - When the scheduled task is overdue.

      • Timezone - Select the time zone for the task.

      Reuse an ad-hoc plan

      1. Open the released Ad-hoc plan.

      2. Select Schedule Next to schedule another occurrence of the plan.

      3. Adjust the Start Time, Finish Time, and Timezone as required. The other information cannot be adjusted when scheduling another occurrence of the plan.

        I want to adjust more information on the plan.

        1. Select Cancel to cancel the rescheduling of the plan.

        2. Select Copy . A copy of the Ad-hoc plan appears.

        3. Make the necessary adjustments to the plan. All the plan details can be adjusted.

        If information has been configured to carry over from one ad-hoc work instruction to the next, when:

        • The next occurrence is scheduled (Schedule Next is selected), the information is carried over as configured.

        • The ad-hoc plan is copied, the new plan isn't part of the same work instruction series, so the information isn't carried over.

    • Simple - Repeats on a regular and uniform schedule. Simple schedules repeat according to the set number of hours, days, weeks, or months between the scheduled events (for example, repeat every 6 hours).

      Select the Simple schedule type.

      • Start Time - When the schedule is implemented.

      • Finish Time - When the schedule is stopped. You can leave this blank; the schedule is applied indefinitely.

      • Timezone - Select the time zone for the plan.

      • Repeat Every - Define the frequency of the schedule (for example, Repeat Every 2 Days).

        • Enter the relevant number and select the unit of time (Hours, Days, Weeks, or Months).

      • Additional Dates (YYYY/MM/DD) - Any dates in addition to the ones specified in the schedule as a comma-separated list.

      • Excluded Dates (YYYY/MM/DD) - Any dates that should be excluded from the schedule as a comma-separated list.

        • Additional Dates and Excluded Dates appear when the frequency of the schedule is in Days, Weeks, or Months.

        • If a plan is released before the excluded dates are configured, the plan can be disabled, and the excluded dates can be configured. When the plan is released again, the excluded dates will be removed from the schedule. However, if the excluded dates include tasks that are Awaiting start (or in a later state) these tasks will remain scheduled. An administrator can manually remove these tasks if required.

      • Duration (in Hours or Minutes) - The estimated length of time it will take to complete the task. This is used to calculate when a task is overdue.

      • Allow start in advance - Define how much earlier each round can be started than its scheduled start time.

      • Considered 'Overdue' after the planned round finish time - Define when each round goes into the Overdue state. For example, if the Considered 'Overdue' setting is 30 minutes and the Duration of the round is 2 hours, the status of the round will change to Overdue 2 hours and 30 minutes after its scheduled start time.

      • Considered 'Missed' after - Define when each round goes into the Missed state; the round cannot be edited.

      Simple schedule and DST

      If you are in a DST (Daylight Saving Time) time zone, consider the following settings:

      • Use Calendar Hours - Controls the scheduling pattern on the days the times shift. For example, if an event is scheduled to happen every 12 hours (6am and 6pm):

        • When the checkbox is selected: The event will still happen at 6am and 6pm.

        • When the checkbox is cleared: The event will happen at 7am and 7pm or 5am and 5pm (depending on the direction of the change).

      • Nonexistent Times - Controls what happens to the scheduled events that fall on non-existent times on the days the times shift.

        For example, the time shift in the United States happens at 2am. On the shift forward day, the 2am hour doesn't exist (1:59am to 3am). If you have an event scheduled for 2am (for example):

        • Skip Nonexistent Times - This event isn't added to the schedule. The event is skipped.

        • Choose Earlier Time - The 2am event is shifted to 1am. All proceeding events happen in their normal time slots.

        • Choose Later Time - The 2am event is shifted to 3am. All proceeding events happen in their normal time slots.

    • Advanced - Repeats on a custom schedule. Advanced schedules repeat on particular days of the week, month, or year (for example, first Monday of every month).

      Select the Advanced schedule type.

      • Start Time - When the schedule is implemented.

      • Finish Time - When the schedule is stopped. You can leave this blank; the schedule is applied indefinitely.

      • Timezone - Select the time zone for the plan.

      • Yearly Repeat - Define the yearly repeat pattern.

        • Every Year - Every year is included in the schedule.

        • Selected Years - Define what years are included in the schedule. Enter the relevant years (YYYY) as a comma-separated list.

      • Monthly Repeat - Define the monthly repeat pattern.

        • Every Month - Every month is included in the schedule.

        • Selected Months - Define what months are included in the schedule. Enter the relevant months as integers (for example, January = 1) as a comma-separated list.

      • Daily Repeat - Define the daily repeat pattern.

        • Selected Dates - Enter the relevant days as a comma-separated list.

          Because there are a different number of days in each month, the entered date range should be 1-28. To select the last days of the month, enter:

          • Last day = -1

          • Second last day = -2

          • Third last day = -3

        • Selected Days of the Week - Select the relevant weeks of the month and days of the week.

          • Weeks of the Month options - Every, 1st, 2nd, 3rd, 4th, and Last.

          • Days of the Week options - Monday to Sunday.

      • Additional Dates (YYYY/MM/DD) - Any dates in addition to the ones specified in the schedule as a comma-separated list.

      • Excluded Dates (YYYY/MM/DD) - Any dates that should be excluded from the schedule as a comma-separated list.

        If a plan is released before the excluded dates are configured, the plan can be disabled, and the excluded dates can be configured. When the plan is released again, the excluded dates will be removed from the schedule.       • Timezone - Select the time zone for the plan.

      The shift options are configured on the Shift names and times configuration page.

      Additional operator round settings

      • Allow start in advance - Define how much earlier each round can be started than its scheduled start time.

      • Considered 'Overdue' after the planned round finish time - Define when each round goes into the Overdue state. For example, if the Considered 'Overdue' setting is 30 minutes, the round will be Overdue 30 minutes after the start time of the next shift.

      • Considered 'Missed' after - Define when each round goes into the Missed state; the round cannot be edited.

    • On-demand (only available for operator rounds) - The operator round is not scheduled. Users can add on-demand rounds on j5 Mobile as required.

      On-demand schedule settings

      Select the On-demand schedule type.

      No other schedule settings are available for On-demand rounds.

      • Only 100 on-demand round plans can be created on your j5 system. This is the total number of on-demand plans, not just the Released on-demand plans.

      • You can only create and release on-demand rounds in the Operator Rounds Planning module; they cannot be created in the j5 IndustraForm Designer.

  5. Select Save

Upload tasks spreadsheet and static files

  1. Select Upload Tasks Spreadsheet. The Upload Tasks Spreadsheet dialog box appears.

  2. Select Choose File.

  3. Select the relevant spreadsheet, and select Open.

  4. Select Confirm. j5 creates an operator round IndustraForm template using the uploaded tasks spreadsheet.

  5. If the uploaded tasks spreadsheet references a static file, select Upload Static File.

    If the static file has already been uploaded to the area or parent area of the operator round (for example, for another operator round), the new operator round can reference the preexisting static file.

Preview and release

  1. Select Preview. The operator round template opens in a separate browser window.

  2. If required, adjust the operator round template design in the tasks spreadsheet and re-import.

  3. When you are satisfied the operator round template meets requirements, select Release Round.
