  1. Select Download Template to export the current assets from your j5 system. A spreadsheet template downloads to your computer.

    If you have a large asset register, it may take longer than your browser will allow. If the download hasn't been successful after 30 seconds, j5 will redirect you to the export record. When the spreadsheet template is ready for download, select the Asset Import Template.xlsx link in the Import File box to download the spreadsheet.

    • You need to refresh the export entry periodically when the download is preparing to see if the download is ready.

    • If you are not redirected to the export record and the export record doesn't appear in the list view, refresh the Asset Import page to view the record.

  2. Open the Asset Import Template.xlsx spreadsheet on your computer.

  3. Edit the asset list (add and remove assets, and edit details):

    • Asset Name (required) - Enter a name for the asset. This needs to be unique (only one asset can have this name in the asset register).

    • Asset Description - Enter a description for the asset. Both the Name and Description appear in the IndustraForm asset selector.

    • Parent - Enter the parent asset for the asset.

    • Barcode/NFC/QR - Enter the barcode, NFC tag, or QR code for the asset. This can be used to quickly navigate to the entries that reference this asset.

    • Assets States - Select the state set for the asset. To edit the available state sets, select the Asset State Sets tab.

    • Latitude and Longitude - Enter the physical location of the asset. These positions are in decimal degrees, positive or negative, with a minimum of 7 decimal places.

  4. Adjust the availability of the asset in the different operational areas. Take note of the following:

    • Each row defines one asset and its operational area availability.

    • Operational areas are selected from option lists. The operational areas available in these lists are edited on the Operational Areas tab.

    • If no operational areas are assigned to an asset, the asset will be available in all the operational areas.

    • In the default import spreadsheet, there are 10 Operational Area columns for each asset. More Operational Area columns can be added as required.

    • For existing assets (assets already in the asset register on j5) their:

      • Asset Description and Operational Area availability can be updated.

      • Asset Name cannot be updated (because assets are identified by their asset name), but an asset can be replaced with the asset name you want. This requires the allowance of deletions when the file is imported (refer to Import the asset register for more information).

    • On the Operational Areas sheet:

      • Each row is one operational area path. Operational area nodes in the path are separated with the > symbol (for example, Site > Section one > Area one).

      • The operational area nodes in each path need to match the operational area nodes on your j5 system exactly. If an operational area node doesn't match an existing operational area node on your j5 system, the import spreadsheet will fail to import.

    In order for all your configured operational area paths to appear in the option lists on the Assets sheet, the option list source area may need to be adjusted when more operational area paths are added to the sheet.

  5. Save your changes after updating the spreadsheet.
