  1. To create the first workflow step, click Insert Before. The first step is displayed in the step list.

    To see a graphical representation of the workflow at any point, click View. For more information, see Viewing workflows.

  2. Select a Step Definition. The Name box is populated automatically with the step name.

  3. In the Duration box, type the number of days allocated for this step. The step duration is used to calculate the target completion date, which is then used to perform overdue notifications and workflow expirations.

  4. Beside the Recipients box, click to display the Update Step Recipient form.

  5. Select the recipients that this step will be assigned to, and click OK to return to the Create Template form. See also Assign recipients to a workflow step for more details. (Recipients may be users, roles, or determined by a matrix.)

    Some types of steps (such as a voting step) do not have recipients in which case the Recipients button will be disabled.

  6. If a checklist is to be attached to this step, select one in the Checklist box.

  7. If you want to force the recipient to complete the check list before they can complete the step, select the Completed check box. If the check box is not selected, the recipient will have the option to complete none, some, or all the check list items.

  8. To set the Accept Status (that is, the status of the workflow object if the step is completed successfully), click beside the Accept Status box, and select the status from the list.

  9. To select the Accept percentage (percentage of workflow completion), click List scroll up and down beside the Accept percentage box.

    Select the Accept Percentage for each workflow status in incremental order.

  10. To set the Reject Status (that is, the status of the workflow object if the step is rejected), click beside the Reject Status box, and select the status from the list.

  11. To select the Reject percentage (percentage of workflow rejection), click List scroll up and down beside the Reject percentage box.

    Select the Reject Percentage for each workflow status in incremental order.

  12. To add the next step, select the current step, and click Insert After.

  13. Repeat steps 2 to 11 above for each step you insert.

  14. To arrange the steps:

    • Click Insert After to add a new step after the current selection.

    • Click Insert Before to add a new step before the current selection.

    • Click Remove to delete the current selected step.

    • To change the order of the steps, select a step and use and to move it up or down in the list.

    • You can also use Auto Order to let SmartPlant Foundation select the best order. This will take the first step in the grid and assume it is the first step in the workflow. The software will then navigate the accept steps to find a good order to display the steps in. Provisions have been made to keep a branch in a parallel workflow together.

  15. For each step in the workflow except the last one, set the Accept Step or the Reject Step. See also Workflow accept and reject steps for details.

    • All steps except the last one must have an accept step.

    • Depending on the outcome of the step (voting, accept, reject) the objects in the workflow will follow either the Accept or Reject path. You can specify both accept and reject paths.

  16. Click OK to save the new workflow template.
