Approval sequences are useful for certain documents such as engineering requisitions, inquiries, quote summaries, agreements, login requests, company profiles, qualifications, and so on, that require several approval steps. The approval templates serve as predefined lists of approvers to be copied to the appropriate approval sequence.

Create approval templates

An approval template lists the primary users who must approve an object before it is regarded as approved. Each person can be associated with a distribution category and a certain amount of money that he or she can approve.

Depending on the type of the approval template, the users assigned to the approval template must have a particular privilege granted.

  1. From the Home screen, select Administration > Global Setup > Approval Process > Approval Templates.

  2. Click Add Row.

  3. Type a template name.

  4. Type the short description and description.

  5. Select a template type from the Template Type list.

  6. Select Yes in Title Based Approval? to specify title-based approval and then, click Save.

Assign approvers

  1. Select a template.

  2. Click Add Row in the Assigned Approvers section.

  3. Type a sequence number for the approvals.

  4. Select a user and title from the respective list.

  5. Select Yes in Prerequisites list to specify that another user must approve before the selected user is allowed to approve, else select No to specify approval from the user is not a prerequisite.

  6. Type the maximum amount allowed for approval by the user.

  7. Select the currency from the Currencies list.

  8. Select a distribution category from the Distribution Categories list.

Assign a user representative

Representatives are people who can approve documents such as engineering requisitions, inquiries, quote summaries, agreements, and so forth when a primary user is unavailable, for example, due to vacation or illness. For each primary user, you can define representative users for each type of approval document. Representative users can handle all new requests for the specified document when the primary user is not available.

  1. From the Home screen, select Administration > Global Setup > Approval Process > Approval Representatives.

  2. Select a user from the Users list.

  3. Click Add Row in the Representatives block.

  4. Select a template type from the Template Type list.

  5. Select a user from the Representative User list, and then click Save.

  • The user and the representative user must have the appropriate privileges based on the document type you select

  • You can assign one document type to one representative user only.

Activate a representative

The Activate Representatives screen allows you to activate representative users for documents that are waiting for approval.

  1. From the Home screen, select Administration > Global Setup > Approval Process > Activate Representatives.

  2. Select a record from the list, and click Activate.

You cannot activate a representative who is already assigned to the corresponding approval sequence.

To activate a representative user, you must be logged in with the discipline of the selected document.
