On the Scheduled Emails tab, you can activate and configure email events. If an activated event occurs, an email is prepared using a CIP procedure from M_PCK_SCHEDULED_MAILS_CUSTOM package and sent at specified time.

  1. From the Home page, select Administration > Global Setup > Email Setup > Scheduled Emails.

  2. Select an Email Event and click Edit.

    Which event should I select?

    The available events with their description are listed below.

    ACCOUNT_UPDATE

    Email is sent on Submit after supplier has modified any data under My Account

    BID_DECLINED

    Email is sent after bidder selects 'I will not bid'

    BID_DUE_DATE_REMINDER

    EWQ job sends reminder emails to bidders who did not submit bids 'x' days before (revised) bid due date

    BID_DUE_DATE_REVISED

    Email sent to bidders with the revised bid due date when Revised Bid Due date set

    BID_THANKS_LETTER

    Email is sent to bidders and buyer on (revised) bid due date expiration

    COMMERCIAL_FILE

    Email sent when bidder attaches a commercial file to the inquiry

    COMMERCIAL_QUESTION_BIDDER

    Email sent when bidder answers commercial question

    COMMERCIAL_RFI_ANSWER_BUYER

    Email sent when buyer answers commercial Request for Information

    COMMERCIAL_RFI_BIDDER

    Email sent when bidder submits a commercial Request for Information

    INQUIRY_APPROVED

    Email is sent on approving the inquiry (supplement > 0) to assigned bidders, buyer, email recipients defined on Bidders tab

    INQUIRY_REVISED

    Email is sent on approving the inquiry (supplement 0) to assigned bidders, buyer, email recipients defined on Bidders tab

    MIR_CREATED

    Email is sent to email addresses specified with distribution category INV_MAIL on MIR creation.

    The distribution category INV_MAIL must exist in all projects that use emailing feature, with all required email addresses assigned.

    MRR_CREATED

    Email is sent to email addresses specified with distribution category INV_MAIL on MRR creation.

    The distribution category INV_MAIL must exist in all projects that use emailing feature, with all required email addresses assigned.

    MTR_CREATED

    Email is sent to email addresses specified with distribution category INV_MAIL on MTR creation

    The distribution category INV_MAIL must exist in all projects that use emailing feature, with all required email addresses assigned.

    QUOTATION_SUBMITTED

    Email sent when bidder clicks Finalize Quote to submit quote

    TECHNICAL_FILE

    Email sent when bidder attaches a technicial file to the inquiry

    TECHNICAL_QUESTION_BIDDER

    Email sent when bidder answers technical question

    TECHNICAL_RFI_ANSWER_ENGINEER

    Email sent when buyer answers technical Request for Information

    TECHNICAL_RFI_BIDDER

    Email sent when bidder submits a technical Request for Information

  3. Select Yes in Active cell to activate this email event.

  4. Select any of these values in the Scheduled cell:

    • Immediately - email is sent immediately after the event occurred

      Emails are dispatched by a scheduled job which runs every five minutes. This means that the emails may be sent with a delay of up to five minutes.

    • Delayed by - email is sent after the event occurred, with a delay of the number of minutes defined in Minutes cell

    • After Reviewing - email is displayed for reviewing after the event occurred.

    • Before Event - email is sent x days before the event occurs, in which x is defined in Days Before cell.

  5. If you have selected Delayed by in previous step, type the number of Minutes.

    Or, if you have selected Before Event in previous step, type the number of Days Before.

  6. Optionally, type an email address in Sent By which should be used as sender address if it's not specified (in M_PCK_SCHEDULED_MAILS_CUSTOM CIP).

  7. Optionally, update the pre-defined Comments.

  8. Click Save.
