The Assign function allows a foreman/manager at a site to assign documents such as Release Notes, Purchase Orders, Material Receipt Reports, Material Transfer Reports, Physical Inventory Count Sheets (PICS), and Material Issue Reports (MIR) to the end users. In order for the documents to be assigned to a end-user, the end-user must have an assigned role in Smart Materials (Assign Role) and the corresponding rule (MRR rule, MTR rule, PICS rule, MIR rule) authorized by the administrator. Once a document is assigned to a user, the software removes the document from the list of documents and creates an un-posted MRR based on the selected document. The assigned user can receive material against this MRR by using the Receive function and selecting the new MRR.

A Direct MRR, with just the header information, created using the Smart Receive function, can also be assigned to a user. The user can then use the Assign > Receiving Reports function, select the Direct MRR and then scan the items under the Direct MRR.

A foreman/manager can perform the following functions:

  • Assign a document to a user

  • View documents that are assigned to users against each document type

  • Reassign document to a different user

  • If the project default is set as ZC_ASSIGN to N, the user can directly scan the materials without being assigned to the documents. Project default is authorized by the Smart Material administrator.

  • If the project details is set as ZC_ASSIGN to Y, the user cannot scan the materials without being assigned to the documents. Project default is authorized by the Smart Material administrator.

The following procedure is applicable only when the project default ZC_ASSIGN is set to Y.

MRR numbering rule

MobileScan application follows numbering rule for displaying MRR's based on the assigned user or the signed in user:

  1. Check whether the user has been assigned a numbering rule.

    If yes, the application uses the assigned user numbering rule for naming the new MRR's.

  2. Check if the signed in user has numbering rule.

    If yes, the application uses the user numbering rule for naming the new MRR's.

    User numbering rule is a combination of user, role, discipline, and nls that the user selects to sign in.

  3. If both the checks fail, MobileScan uses the default numbering rule.

  1. From the Home screen, tap Assign tile.

    The numbers in the brackets indicate the number of documents that are available to be assigned or re-assigned.

  2. Select the document type to assign to a user.

    When assigning a PO or a RN, the software creates an un-posted MRR for the assigned user based on the information from the selected PO or RN.

  3. Select the document you want to assign to a user from the list.

    Assign Documents > Receive Report

  4. Tap Select a user.

    The software displays a list of users with Receive privilege.

  5. Select a name from the list, and then tap Assign.

    The software removes the document from the list of documents and creates an un-posted MRR based on the document selected.

    • Arrived is enabled only for Purchase Orders and Release Notes.

    • When you click Arrived, the application records an event in the database to indicate that the material specified in the document has arrived at the site.

    • After a PO or RN is assigned, the software creates an MRR. The foreman/manager can reassign the MRR to a different user but the MRR number remains the same.

  6. Repeat steps 2 through 5 to assign multiple documents.
