You can use the P.60.51 Requisition Progress screen to get an overview of the progress of a project. The number of engineering requisitions, inquiries, quote summaries, and orders is constantly increasing; budgets and order costs are growing. This screen gives you an overview of the budgets and order costs within a project at a certain time, grouped by discipline.

You can create and save snapshots of your actual project progress by defining a DBMS job on the A.60.45 DBMS Jobs screen. It is up to you to decide how often you want to take these snapshots. For example, you can create snapshots daily, weekly, or monthly. Your job definition on A.60.45 in the Executed PU should look like the example shown below:

The snapshot date is shown in the Date of Snapshot field at the top of the screen.

In detail, the number of requisitions of different statuses and the number of inquiries, quote summaries, and orders are calculated. For the purpose of budget comparison, the original and total budgets of engineering requisitions and their associated orders are totaled up. The totals that are calculated are grouped by discipline. The totals over all disciplines are also calculated and displayed in the last record, which shows TOTAL in the Discipline field.

For all totals that are calculated, the discipline of the requisition or the associated requisition(s) is the determining factor. Thus, it is considered that often requisitions are created in different disciplines, but the work in procurement is done in one overall discipline.

Only approved objects (requisitions, inquiries, and so forth) are taken into account.

This screen consists of two overview windows and several detail windows behind these overview windows.

The first overview window is the first window showing the requisition progress. Double-clicking on any ‘counter’ field opens a detail window where you can see all requisitions, inquiries, and so forth for the selected discipline.

Double-click in the Discipline field to open a detail window for the budget comparison. Depending on the selected discipline, only the orders of this discipline are displayed in Window 8. If you double-click the TOTAL entry in the Discipline field, the orders of all disciplines are displayed on Window 8.

The Original Budget field displays the total of the original budgets of all engineering requisitions for which at least one line item can be found on an approved purchase order or notice of commitment.

The Total Budget field displays the sum of the line item budget values below the requisitions in the selected discipline. Only requisition line items that have been placed on an approved purchase order or notice of commitment are taken into account.

The Order Cost field displays the costs of the associated orders. These costs comprise the costs of any order line item that is associated with a requisition line item of the selected discipline, the other costs of this order line item, and the other costs of the order header. If more than one requisition line item of the discipline can be found on an order, the other costs of the header are taken into account only once.

A value of -1 in the fields mentioned above indicates missing conversion factors on the A.10.13 Unit to Unit screen.

The Currency field shows the currency of the budget and the order costs. This currency is always the currency of the project defined by project default ZX_CURCY.

You can double-click in the Engineering Requisition field to open the R.30.11 Requisition Cross Reference screen. For more information about this screen, see Requisition Cross Reference.

Click the Return button to go to Window 7 where the budget comparison is displayed. This window also opens when you click the Budget Compare button on the main window.

If you double-click in any field on this Window 7, the software opens window 8 with the details.

Double-click the UNKNOWN entry in the Discipline field on the main window to open Window 9. Here you can see all (manual) purchase orders that have at least one line item that is not associated with a requisition line item.

Here you can double-click in the Order Number field to open the P.50.07 Maintain Agreements screen. For more information about this screen,see Agreements.

The Planned field shows the number of planned engineering requisitions that have been defined on the P.60.03 Requisitions Planning screen. The No Relation field shows the number of engineering requisitions planned but not related in any way. The link status of these requisitions is set to 'No Relation' in the Linked to Req? field on the P.60.03 Requisitions Planning screen.

Double-click in the Planned or No Relation field on the main window to open Window 2 where the planned requisitions are displayed.

Here you can double-click in the Engineering Requisition field to open the P.60.03 Requisitions Planning screen. For more information about this screen, see Requisitions Planning.

The Linked field displays the number of the planned and approved engineering requisitions of which the link status is set to 'Linked' in the Link to Req? field on the P.60.03 Requisitions Planning screen.

The Present field displays the number of the planned and approved engineering requisitions that are not linked so far, that is, of which the link status is set to ‘Present’ in the Linked to Req? field on the P.60.03 Planned Requisitions screen.

The Unplanned field displays the number of unplanned and approved engineering requisitions. These requisitions cannot be found on the P.60.03 Requisitions Planning screen.

The Without PO field displays the number of engineering requisitions for purchase that are not assigned completely to purchase orders or notices of commitment. That is, at least one line item of the requisition cannot be found on an approved order or notice of commitment.

Double-click in the Linked, Present, Unplanned, or Without PO fields on the main window to open Window 3 where the requisitions are displayed.

Double-click in the Inquiries field on the main window to open Window 4 where the approved inquiries to which requisition line items of the selected discipline have been assigned are displayed. If you have double-clicked the TOTAL record, the inquiries of all disciplines are displayed.

Here you can double-click in the Inquiry Number field to open the P.30.11 Inquiries screen. For more information about this screen, see Maintain Inquiries.

Double-click in the Quotes field on the main window to open Window 5 where the quote summaries with the assigned bidders are displayed. If you have double-clicked the TOTAL record, the quote summaries of all disciplines are displayed.

Here you can double-click in the Inquiry Number field to open the P.30.22 Commercial Evaluation screen. For more information about this screen, see Commercial Evaluation.

Double-click in the Pos/NOCs or the BOs fields on the main window to open Window 6 where the approved agreements (purchase orders, notices of commitment, and change orders) to which requisition line items of the selected discipline are associated are displayed. NOCs are only displayed as long as they have not been converted into a purchase order. Calling this window for BOs, all approved blanket orders that are based on requisition line items of the selected discipline are shown. If you have double-clicked the TOTAL record, the orders of all disciplines are displayed.

Here you can double-click in the Order Number field to open the P.50.07 Maintain Agreements screen. For more information about this screen, see Agreements.

The accumulated values displayed are snapshots. When you look at the details, you always see the data that is actually in the database.
