On the Order Reference tab, you can see and maintain general expediting and inspection information such as the contact persons at the supplier, assigned expediters, and inspectors or pertinent areas and levels.

Updates of the order reference on the requisition level are populated to all tagged items of that requisition without individual data. Individual data means that any order reference data of a tagged item has been changed manually. Updates on the tagged item level are always only processed for that individual item.

Once data has been updated on the tagged item level, this data is regarded as individual data even if is data is once again identical with the data on the requisition level.

In the Contacts block, the Purchasing Contact field shows the name of the purchasing contact person at the supplier. The Expediting Contact field shows the name of the expediting contact person at the supplier. The Inspection Contact field shows the name of the inspection contact person at the supplier. You can double-click in any of these contact fields to open the Contacts tab of the A.10.23 Companies screen, where the supplier contacts are maintained. The Inspection Coordinator field can be used to enter the name of the inspection coordinator. This name can be entered as any free-format text.

In contrast to all other fields on this tab, the purchasing contact and the inspection coordinator can only be set on the order level and not individually on the requisition or tagged item level.

The Criticality Level field displays the name of the level of criticality. You can double-click in this field to open the P.10.55 Expediting Levels screen where the criticality levels are maintained.

In the Expediting block, the Pertinent Area field displays the name of the pertinent area for expediting. Pertinent areas can be assigned not only to an engineering requisition or the tagged item of a requisition but also to item shipments. If you change the pertinent area, you are asked if you want this modification to be copied over to the related item shipments as well. In case of an update on the requisition header level, all item shipments that can be found for the selected combination of purchase order and requisition will be modified. If you modify the pertinent area for a tagged item, only the related item shipments of this single item will be changed. Item shipments remain unchanged if they are part of a release note that has already been approved. You can double-click in this field to open the P.10.75 Pertinent Areas screen.

The Original Expediting Level field shows the name of the original level of expediting. This field contains the level that was first assigned to the requisition / tagged item. If this level is to be modified, the new value must be entered in the Revised Expediting Level field. You cannot update the original level. As long as the level has not been changed, the original level will be displayed in all other expediting screens. When you enter a modified level, this one will be shown in the other screens. When entering a level of expediting, all events that have been assigned to this level on screen P.10.57 are automatically assigned to the requisition / tagged item. These events will then be available on the Expediting Events tab for maintaining the date fields. You can double-click in this field to open the P.10.55 Expediting Levels screen where the expediting levels are defined.

The Revised Expediting Level field can be used to revise the name of the level of expediting. Once the original level is to be changed, this field is to be used because the level first assigned to a requisition / tagged order cannot be modified. As long as the level has not been changed, the original level will be displayed in all other expediting screens. When you enter a revised level, this revised level will be shown in the other screens. When entering a new, modified level of expediting, all events that have been assigned to this level on screen P.10.57 are automatically assigned to the requisition / tagged item. These events will then be available on the Expediting Events tab for maintaining the date fields. The events of the previous entry in this field are no longer available on that tab. When you clear this field, the events of the original level of expediting are available again on the Expediting Events tab. You can double-click in this field to open the P.10.55 Expediting Levels screen where the expediting levels are maintained.

The Shop Expediter field shows the name of the shop expediter. You can double-click in this field to open the P.10.77 Shop Expediters/Inspectors screen where the shop expediters are maintained. When assigning a shop expediter to an order/requisition combination, an email is automatically sent to the shop expediter to inform him of this assignment if the following prerequisites are fulfilled:

  • These DBA settings must be set:

    • SMTP_CLIENT

    • SMTP_HOST

    • SMTP_PORT

    • LOG_EMAIL_HANDLING

    • EMAIL_ACCOUNT

  • With project default ZX_CMTMAIL, you define the communication type that represents an email address. The address value that can be found on P.10.77 for the communication type is used as the email address for the mail that is generated.

  • With project default ZP_EMT_S,E you define the email template that is used for the email. You can use the variables #SF_CODE#, #PO_NUMBER#, #COMPANY_NAME#, and #PROJ_ID# to be able to address the shop expediter personally and to pass on information such as project, order, and supplier.

    #SF_CODE# will be replaced by the value of the Shop Expediter/Inspector field on P.10.77,

    #PO_NUMBER# will be replaced by the order number,

    #COMPANY_NAME# will be replaced by the name of the supplier's company,

    #PROJ_ID# will be replaced by the name of the project.

Shop expediters can be assigned not only to an engineering requisition or the tagged item of a requisition but also to item shipments. If you change the shop expediter, you are asked if you want this modification to be copied over to the related item shipments as well. In case of an update on the requisition header level, all item shipments that can be found for the selected combination of purchase order and requisition will be modified. If you modify the shop expediter for a tagged item, only the related item shipments of this single item will be changed.

The Fab Location field shows the place where the fabrication takes place. You can double-click in this field to open the P.10.58 Fab/Inspection Locations screen where the fabrication locations are maintained. Fabrication locations can be assigned not only to an engineering requisition or the tagged item of a requisition but also to item shipments. If you change the fabrication location, you are asked if you want this modification to be copied over to the related item shipments as well. In case of an update on the requisition header level, all item shipments that can be found for the selected combination of purchase order and requisition will be modified. If you modify the fabrication location for a tagged item, only the related item shipments of this single item will be changed.

The Expediter field displays the name of the expediter for this engineering requisition or tagged item. Only users having the EXPEDITER privilege granted can be entered. If the project default ZX_PRIVREQ is set to N (default), you can assign an expediter to an order. If this project default is set to Y, you can only assign an expediter when you have the ASSIGN EXPEDITER privilege granted.

The Telephone field shows the expediter's telephone number, the Fax field the expediter's fax number, and the Email field the expediter's email address.
