On the first (Role Menus) tab, you can assign the menus, screens, and reports needed for a specific task area to the selected role. All menu items (menus, screens, reports) that should be accessible by the users must be added to the role. A red background color for a menu item indicates that access has been limited on a deeper level on Window 2.

Screens can be activated in read-only mode, which means data can be displayed, but not modified, deleted, or created. To activate a screen in read-only mode, select the Read Only check box for this screen. This Read Only indicator is only used for modules of menu type FORM. This setting determines whether the module is called in query-mode. The text (Read Only) in the window-title indicates a screen that is called in read-only mode. Unless that data can only be viewed and not changed, all buttons on the screen are disabled.

To de-activate a menu item without deleting it from the role, select the Deactivate indicator for this menu item. This will cause the whole menu branch with all existing child entries to be hidden, starting with the selected menu. This indicator is only used for modules of menu type MENU.

The No Config Change indicator controls whether the user is allowed to change configurations for the selected screen. This check box is only needed for screens with configurable fields (the so-called core workflow screens). For all other screens, this indicator has no meaning.

If this indicator has been set, the 'Add field', 'Remove field', 'Move to scroll area', 'Remove from scroll area', 'Set column spacing', and 'Multi configuration' options are not available in the pop-up menu provided for the configurable fields. The 'Drag and Drop' check box is not available either.

If the Read Only indicator is not selected for the menu item, it is possible to limit the access on a deeper level like tab page, block, or field (item). To do this, you must open Window 2 of A.30.03 by double-clicking the menu item in Window 1. Or, you can use the Next Block button.

To restrict a user's access to the tabs of a screen, you must use the Tab Page section. Any tab that is assigned here to the role will not be displayed on the corresponding screen. Use the LOV to select tabs from the list.

The Fastcall section displays all fastcalls available for the selected screen. To deactivate a fastcall, clear the Enabled check box for this fastcall.

The Application Role Menu Blocks section can be used to restrict access to blocks of a screen. Select the block to be restricted from the LOV and select the appropriate check box(es) for this block.

  • No Insert - Insertion of new records not allowed for this block.

  • No Update - Modification of records not allowed for this block.

  • No Delete - Deletion of records not allowed for this block.

The Application Role Menu Block Items section can be used to restrict access to fields (items) of a screen. The items entered in this section must be in context with the block selected in the Application Role Menu Blocks section. This means that before selecting the item to be restricted from the LOV, you must enter the corresponding block. Now you can select the appropriate check box(es) for this item.

  • No Insert - Insertion of new records not allowed for this block.

  • No Update - Modification of records not allowed for this block.

  • No Display - Field will not be displayed on the screen.

    To avoid problems, do not check this indicator for mandatory fields or the first navigable field of a block.

  • Disabled - The field is displayed but is not accessible by mouse or keyboard navigation.

Specific information for some menu items might be confidential (prices of a PO, for example) or should not be updated. You may want to allow some users to view the data in "read-only" mode only.
