Smart Materials to Jovix - Intergraph Smart Materials - 10.5 - Administration & Configuration - Hexagon

This section discusses the flow of data from Smart Materials to Jovix. The following information flow happens:

• Release Notes (RN) header

• Item shipments

• Release Notes ownership

• PO Header

• PO Line Items

  While integrating RN from Smart Materials to Jovix, the integration checks if the PO of corresponding RN is integrated to Jovix:

  1. If the PO is integrated then, the RN integration is initiated.

  2. If the PO is not integrated then, the PO integration is initiated.

     1. On successful PO integration the RN integration is initiated.

     2. If the PO is excluded from integration then the corresponding RN integration is also excluded and the status of PO and the corresponding RN is updated to Excluded.

  3. If a RN integration is in progress (RN Approval, Reverse Approval, Ownership Transfer/Recall from both Smart Materials to Jovix and Jovix to Smart Materials), you cannot work on the RN till the integration is complete.

Only Release Notes of projects that have the project default ZI_JX_PROJ defined are integrated with the Jovix project.

Triggering points

• For Smart Materials versions from 10.1 SP 14 or 10.2 SP 4 or 10.3:

  • Based on the project default ZP_RN_OWSP value, the RN is integrated from Smart Materials to Jovix:

    • When project default ZP_RN_OWSP is set to Default - On Approval/Release for Packing, RN data is not transferred to Jovix immediately. Ownership of RN is transferred to Supplier in Smart Materials Portal and Traffic Coordinator must recall ownership and transfer to Jovix manually.

    • When project default ZP_RN_OWSP is set to Traffic Coordinator - On Approval/Release for Packing, RN data is not transferred to Jovix immediately. Ownership of RN is transferred to Traffic Coordinator and Traffic Coordinator must transfer ownership to Jovix manually.

• For Smart Materials versions from 10.1 SP 19 or 10.2 SP 6 or 10.3:

  • When the project default ZP_RN_OWSP is set to Jovix, on Approval/Release for Packing, RN data and Ownership is transferred to Jovix immediately.

  All other values of project default ZP_RN_OWSP are still honored.

• When a RN is reverse approved/reverted from packing in Smart Materials Expediting screen.

Release Note ownership

To maintain data consistency in Release Notes and Packages in both Smart Materials and Jovix, the following rules points must be adhered:

For Smart Materials versions from 10.1 SP 14 or 10.2 SP 4 or 10.3 -

Release Notes are integrated from Smart Materials to Jovix only when RN Ownership is transferred by Traffic Coordinator from Smart Materials to Jovix.

For Smart Materials versions from 10.1 SP 19 or 10.2 SP 6 or 10.3 -

Based on the project default ZP_RN_OWSP value Jovix, the Release Notes data and the Release Notes ownership are transferred to Jovix on RN approval/Release for Packing.

All other values of project default ZP_RN_OWSP are still honored.

• Packages are integrated from Jovix to Smart Materials when RN Ownership is recalled by Traffic Coordinator or when RN ownership is transferred from Jovix.

• Expediter can work on Release Notes or Packages in Smart Materials only if RN ownership is with Smart Materials

• Similarly, Jovix user can create or update packages or create MRR by Release Notes in Jovix only if RN Ownership is with Jovix.

RN ownership in Smart Materials

• RN Ownership is transferred to Jovix as discussed in Triggering points.

• If the RN status in the Traffic module of Smart Materials is set to In Progress TC then, the RN Ownership is with Traffic Coordinator.

• If the Release Notes status in Traffic module of Smart Materials is In Progress Supplier then, the RN Ownership is with Smart Materials Portal Supplier.

• If the RN status in Traffic module of Smart Materials is In Progress Jovix then the RN Ownership is with Jovix.

Transfer RN ownership from Smart Materials to Jovix

To Transfer RN ownership from Smart Materials to Jovix, perform the following steps:

1. Approve the Release Note from Smart Materials Classic or Release for Packing from Smart Materials (WPF).

   RN would now be available in Smart Materials (WPF) > Traffic screen.

2. Navigate to Smart Materials (WPF) > Traffic > Traffic Coordination, select the Agreement, scroll to View PPL/Packing Lists and then click View.

   You would then be navigated to Active PPL/Packing Lists tab. All the Packing Lists (Release Notes) of the corresponding Agreement are listed here.

3. Click Release Note > Change PL/PPL Ownership and then select Packing Lists tab.

4. Select Ownership to Supplier.

5. Select Use Jovix for the required Packing Lists (Release Notes) and then click Save.

   The Packing List (Release Notes) status is updated to In Progress Jovix.

   When RN is approved in Smart Materials Classic or Released for Packing in Smart Materials (WPF) then, the RN ownership lies with either Traffic Coordinator or Smart Materials Supplier Portal based on the project default ZP_RN_OWSP and takes the following values:

   Default – When the Release Note is released then, the release note ownership is transferred to the Smart Materials Supplier Portal. To transfer the RN data to Jovix, Traffic Coordinator must get the RN ownership back and then transfer it to Jovix from Change PL/PPL Ownership dialog in Traffic.

   Traffic Coordinator - When the Release Note is released then, the RN ownership is transferred to the Traffic Coordinator in Smart Materials.

   Traffic coordinator can transfer RN data to Jovix by directly transferring RN ownership to Jovix using the Change PL/PPL Ownership dialog in Traffic.

Recall RN Ownership from Jovix to Smart Materials

To Recall RN Ownership from Jovix to Smart Materials perform the following steps

1. Open Change PL/PPL Ownership dialog in Traffic module.

2. Follow the above mentioned steps in Transfer RN ownership from Smart Materials to Jovix (Steps a to c).

3. Clear the Ownership to Supplier checkbox.

   The Packing List (Release Notes) status is updated to In Progress TC.

RN ownership in Jovix

• If the RN status in Jovix is SMAT Control then the RN ownership is with Smart Materials.

• If the RN status in Jovix is JOVIX Control then the RN ownership is with Jovix.

Transfer RN Ownership from Jovix to Smart Materials

To transfer the RN Ownership from Jovix to Smart Materials, update the RN status in Jovix to SMAT Control. Once the Status is set to SMAT Control, the Jovix user cannot recall back the RN ownership forcefully until and unless Traffic Coordinator transfers RN Ownership from Smart Materials.

RN approval integration

You can add item shipments to a release notes only when the PO ownership is with Smart Materials. If the Transfer to Jovix button in the Expediting screen is enabled then it indicates that the PO ownership is with Smart Materials.

1. For Smart Materials versions 10.1 SP 14 or 10.2 SP 4 or 10.3 -

   • Release Notes are integrated from Smart Materials to Jovix only when RN Ownership is transferred by Traffic Coordinator from Smart Materials to Jovix.

2. For Smart Materials versions 10.1 SP 19 or 10.2 SP 6 or 10.3 -

   • Based on the project default ZP_RN_OWSP value Jovix, the Release Notes data and the Release Notes ownership are transferred to Jovix on RN approval/Release for Packing.

     All other values of project default ZP_RN_OWSP are still honored.

3. When the RN ownership is transferred to Jovix, the RN is integrated from Smart Materials to Jovix.

4. When RN is integrated to Jovix:

   1. All the properties as in Data Mapping are integrated.

   2. RN header status is set to Jovix Control.

   3. RN number is updated against item shipments number in the Jovix Shipment Items screen.

5. Before the integration of RN begins, Smart Materials Connector for Jovix checks whether a PO for the RN is available in Jovix:

   If the PO is not available, then a PO header is created with the shipment items in the RN and the corresponding PO line items. However, the PO ownership is not transferred to Jovix.

6. When the RN is transferred to Jovix along with RN ownership then, a Jovix user can create Packages or Receipts using this RN.

7. When RN ownership is not with Smart Materials then, following activities are restricted in Smart Materials:

   1. Cannot reverse approve or revert RN in Expediting

   2. Cannot create Packages for this RN in the Traffic module.

8. To perform the above mentioned activities the Traffic Coordinator must get back the RN Ownership from Jovix.

9. In case of errors during the RN ownership transfer from Jovix to Smart Materials, the RN status in Jovix is updated to Jovix Control.

10. In case of an RN approval, the Jovix Integration Report displays the Release Note item shipments count for both the Smat Count and Jovix Count.

RN reverse approval integration

When a RN is reverse approved in Smart Materials Classic or is reverted by the Supplier in Expediting screen of Smart Materials (WPF) then RN reverse approval integration is initiated. The Smart Materials Connector for Jovix validates if any Receipt (MRR) or Container (Package) is created for this RN in Jovix.

You can reverse approve a RN only if the RN ownership is with Smart Materials. If the RN Status in the Traffic module is In Progress TC then it indicates that the RN ownership is with Smart Materials.

• If MRR exists then, reverse approval integration fails, and the RN is not deleted from Jovix.

• If the MRR does not exist then, RN is deleted from Jovix and all mappings are also removed from Jovix Shipment Items.

• If a Container exists then, reverse approval integration is done but the RN is not deleted from Jovix.

  If the Expeditor modifies the RN item shipments in Smart Materials and integrates the RN to Jovix then, the shipment items are also updated in Jovix.

• In case of reverse approval of an RN, the Jovix Integration Report displays the SMAT Count and Jovix Count as zero.

RN deletion in Smart Materials

When a RN is deleted in Smart Materials irrespective of the ownership status the following data is deleted in Jovix

• Release Note.

• Item ship relation with RN.

• Containers and its materials created under this RN.

Log files

You can check the integration status and logs in the Jovix Integration Report in Smart Materials and Smart Materials Web. The log files are saved in the path defined under the project default ZI_JX_LOG (from versions 10.3 and higher) or in the DBA setting LOG_FILE_DEST. You can also access the log files from Jovix Integration Report from Smart Materials Web.

The naming format of the log files for Jovix Release Notes is as follows:

• When RN ownership is transferred from Smart Materials to Jovix, Approve SRN log is created in the following format:

  JOVIX_APPROVE_SRN_<SMAT RN ID>_<Date in dd-mm-yyyy_Time in hhmmss>.log

• When the RN ownership is recalled from Jovix by the Traffic Coordinator, ownership transfer log is created in the following format:

  JOVIX_RECALL_SRN_OWNERSHIP__<SMAT RN ID>_<Date in dd-mm-yyyy_Time in hhmmss>.log

  This log is not part of Jovix Integration Reports in Smart Materials Web but is available in the path defined under the project default ZI_JX_LOG or in the DBA setting LOG_FILE_DEST.

• When the RN is reverse approved or is reverted by the Supplier, RN reverse approve log is created in the following format:

  JOVIX_REVERSE_APPROVE_SRN_<SMAT RN_ID>_<Date in dd-mm-yyyy_Time in hhmmss>.log

• When a RN is deleted in Smart Materials then a log with the following format is created:

  JOVIX_DELETE_SRN_SMAT RN_ID_<Date in dd-mm-yyyy_Time in hhmmss>.log
