Rooms is a new screen that was created specifically for the Hospitality Edition, although it also available in HxGN EAM Enterprise Edition. The purpose of this screen is to create and maintain hotel property rooms. These include guest rooms, meeting rooms, or any other type of room the hotel wants to track.
Rooms can only be created or updated (including status) in EAM if HxGN EAM is NOT integrated to Infor HMS. See below for details when they are integrated.
Since Rooms are considered equipment records in EAM (i.e., system equipment type = Position) it is like the Position screen. However, much of the position related data, including tab information, has been removed because it is not applicable to rooms. Additional fields that are not available for positions have been added to the Rooms screen.
See Vehicles section for Room statuses.
The Facility field in the hierarchy section should be used to enter a hotel Floor, Wing, or Building (system equipment type = Position) for which the room is assigned. The system will retrieve and display the first parent position of the Facility entered. If a floor is entered as the Facility, then perhaps a wing would be displayed as the Facility Parent.
The Assigned To field in the hotel industry would typically hold a housekeeper’s name because they perform most of the minor maintenance and maintenance pattern work.
The Guest Details section is read-only and is applicable only when HxGN EAM is integrated to Infor HMS. This data comes from HMS. It can never be entered or updated in EAM. As guests check in and out of the room this information is updated in EAM. This section should always contain the current guest’s information.
The Location Details section is read-only and hidden on delivery. It contains the fields Building, Wing, Floor, Exposure and is applicable only when HxGN EAM is integrated to Infor HMS. This data comes from HMS, and it can never be entered or updated in EAM.
The following validated fields are new to EAM. Valid values are set up on the System Codes screen using the Codes selection. The field name and Entity are as follows:
-
Room Type (entity = ROOM)
-
Unit Type (entity = UNIT)
-
Max. Guest Count (entity = MGCT)
-
Living Room (entity = LIVN)
-
Kitchen (entity = KNTE)
-
VIP Status (entity = VIPS)
Although these values cannot be entered or updated when operating in an integrated environment with HMS, the values sent from HMS must be validated in EAM’s backend. Therefore, all valid values from HMS for each of these fields must be setup in EAM. See Integration_EAM-HMS_Design document for details.
