Employees in this section will be refreshed based on which work order activities are selected in the list and values for the following:

Parameters: WO Org., Dispatch Date, and Employee Shift

Options/Filters: Show Available Only, Show Qualified Only, Match Trade, People Required, and Quick Search

Only employees whose Tradesperson checkbox is selected will be displayed.

WO Org.: Standard organization rules apply here as this is the controlling org. for the screen.

Dispatch Date: Dispatch Date is used for the following:

  • To determine an employee’s availability on the Dispatch Date.

  • As a component of the date range discussed in the Shift and Show Qualified Only sections below.

Shift: If Shift is populated in Parameters popup, then only show employees that are not on a shift and employees on the specified Shift for the date range defined by the Dispatch Date + longest duration for selected WO activities -1. We want to make sure the employee will be on the shift long enough the complete the longest duration activity selected.

Show Available Only: If selected, then the system will only display employees and crews in their respective ‘available’ sections IF they have enough availability remaining for the Dispatch Date to cover the calculated dispatch hours necessary for all selected WO activities. This checkbox only impacts available employees and crews IF WO activities are selected because the system needs to compare actual availability with required dispatch hours. See Show Available Only section.

Show Qualified Only: If selected, then qualifications are verified prior to displaying Available Employees. The employee must be qualified based on the date range defined by Dispatch Date + longest duration for selected WO activities -1. The employee must be qualified for all qualifications listed for each selected WO activity.

Match Trade: If selected, and all selected WO activity trades are the same, then show employees whose trade matches the WO activity trade. Obviously, if multiple WO activities are selected, then they must all have the same trade to show any employees in the Available Employee section as an employee can only have 1 trade associated.

People Required: Employees will only be displayed in this section when work order activities are selected if People Required = 1 for those activities. If People Required > 1 for any of the selected activities, then crews whose number of employees >= the largest People Required value for selected activities will be displayed. The screen is designed so that a work order activity can be fully dispatched by dispatching a single crew or employee.

Employees are only displayed on this screen if they are not a member of a Crew. For each employee displayed in this section, the following additional information is available on the associated ‘card.’

  • Employee description

  • Total Dispatched Hours – This is the total number of hours, across all work order activities, for which the employee is currently dispatched.

  • Profile picture – As associated to the employee on the Employees screen.

  • Dispatch icon (+) – If this icon is clicked, the system will:

    Create a dispatch record for the employee for all selected work order activities. These records can be viewed on the Dispatch Labor tab for Work Order screen. These records are the only output from this screen.

    Move the employee card to the Dispatched Crews/Employee section. This indicates that the selected work order activity(s) are dispatched. The cards in this section are reading from the database table behind the Dispatch Labor tab for Work Order screen.

    Recalculate Dispatched Hrs. for the employee.

    • Dispatched Hrs. = WO activity Hours Remaining / (Duration * People Required)

      • All values in this calculation come from the work order activity.

      • Dispatched Hrs. must be calculated for each work order activity for which the employee/crew is dispatched, then the individual values added together to derive the Dispatched Hrs. value to display.

      • If the dispatch record is flagged as ‘completed,’ then the system will not include the associated work order activity in the dispatched hrs. calculation.

      • Dispatch Hrs. is rounded to the nearest integer.

      • If the work order activity has booked labor (i.e., at least some work has been done), see below for modified Dispatched Hrs. calculation

    • Flag each selected work order activity as ‘dispatched’ by placing a green checkbox on the work order Priority icon for each record.

    • Flag each selected work order activity icon on the map as ‘dispatched’ by placing a green checkbox on the work order activity icon on the map (i.e., if multiple activities are represented by a single icon, then all activities must be dispatched prior to the system placing the green checkbox on the icon).

    • Calculate Dispatched Hrs. when booked labor exists for work order activity:

      • Dispatched Hrs. = WO activity Hours Remaining / [Duration - (System Date – Earliest Date Worked for WO activity booked labor records) * People Required)]

        If the dispatch record is flagged as ‘completed,’ then the system will not include the associated work order activity in the dispatched hrs. calculation.

        If the result of the denominator in the above calculation is ‘0’ or a negative number (i.e., -2), the system will set the denominator to ‘1’ and complete the Dispatched Hrs. calculation.

        The time component for System Date and the booked labor record will not be considered in this calculation.

        Dispatch Hrs. is rounded to the nearest integer.

The following options are accessible for Available Employees:

  • If the card is selected (i.e., left clicked or CTRL+clicked), then it will be selected and the corresponding profile picture on the map will be made larger (i.e., selected).

  • If hovered over, the employee description and trade will be displayed.

  • Right click options:

    • Dispatch (see above in this section for details)

    • View/Delete Dispatch Labor (see Map Area section for details)

  • Although employee availability is not considered when displaying employees in this section, some employee Availability Exceptions ARE considered. If the employee has an Availability Exception record where Hours = 0 (i.e., they have NO availability that day), then they will not be available for dispatch for the date range Dispatch Date + longest duration for all selected work order activities +1 if work order activities are selected and the Dispatch Date if no work order activities are selected.
