Below the details section starts the grid which displays all checklist items, with the following important attributes:

  1. Sequence—By default, the Checklist items are listed in an ascending sequence.

  2. Occurrence—System assigned sequence number starting at 1. Occurrence is populated only for repeating checklist items.

  3. Equipment—Equipment attached to the checklist item.

  4. Equipment Org.—Organization of the equipment attached to the checklist item.

  5. Description—Checklist Item description.

  6. Result—Based on the checklist item type, the system only displays the appropriate fields that must be entered. See Task Plans – Checklist tab. The UOM is also displayed, providing the result contains a numeric value.

  7. Notes—Optional field where you can enter a remark. Note that a non-validated lookup is behind this to quickly enter common notes. These common notes can be defined on the System Codes screen using Entity ‘Common Notes’ (‘CNOT’).

  8. Follow-up—Select if you think this needs to be fixed. If selected the system will later create a follow-up work order or a deferred maintenance record for this checklist item, either when you click the appropriate action button or at review of the checklist.

  9. Final Occurrence—You must select this check box if you are specifying a result for a repeating checklist item and this is the last entry. The system does not create a new occurrence for this checklist item if this checkbox is selected.
    If you forget to select this field and a new occurrence is created, update the last result by selecting the Final Occurrence and submit the same. The empty occurrence will be deleted.

  10. Follow-up WO – Activity—Reference to the created follow-up work order and activity.

  11. Deferred Maintenance No.—Reference to the created deferred maintenance activity.

  12. Part—Part attached to the checklist item. The description, organization, and condition of this part are also available fields.

  13. Linear Equipment related fields— See functional brief on Linear Equipment for details on how HxGN EAM handles linear.

    1. From Point—Starting point of the result / problem.

    2. From Point Ref. Description—Free text field.

    3. From Point Geographical Ref.—Free text field.

    4. To Point—Ending point of the result / problem.

    5. To Point Ref. Description—Free text field.

    6. To Point Geographical Ref.—Free text field.

      You can also use the Linear Location Details if the checklist item is associated to linear equipment, and you want to define the from and to position of the result being entered in greater detail.

  14. Aspect—See above under Task Plans – Checklist tab.

  15. Point Type—See above under Task Plans – Checklist tab.
    Inspection Point—Inspection point is populated for checklist items of the type Inspection and only if the system locates actual points for the aspect/point type combination of the checklist item.

      The formula is only calculated automatically on the mobile device. They are not calculated in HxGN EAM.

  19. Meter Reading—If checklist item Type is ‘Meter Reading’ and the entered meter reading is processed, this field is flagged by the system and further updates are not allowed.

  20. Regulated—If the checklist item has a Required value of ‘Regulatory,’ then this checkbox will be selected.

  21. Direction—Lookup. See Task Plans - Checklist tab (see Task Plans – Checklist tab).

  22. Not Applicable—Lookup. See Task Plans - Checklist tab (see Task Plans – Checklist tab).

  23. As Found—Protected field that will be automatically updated based on the Condition As Found from the detail section above the grid. See Task Plans - Checklist tab (see Task Plans – Checklist tab).

  24. Nonconformity Type—Lookup. Shows the Nonconformity Types associated with the Aspect of the checklist item. If you use the lookup the related Nonconformity Type Org., which is also a lookup, will also be populated. See the Nonconformity Types tab on the Aspects screen for setup. Note that on the mobile device the associated Severity from this setup will default if the Nonconformity Type is entered and no other data is filled in yet.

  25. Severity—Lookup. Shows the list of Severities associated with the checklist item. A maximum of 400 is supported. See the Nonconformity Types tab and the Tolerances tab on the Aspects screen for setup.

  26. These fields are automatically populated based on a found tolerance record. See below for details.

  27. Updated By—Indicates the user that made the last change to this checklist item.

  28. Date Updated—The system date and time of the last update is displayed.

  29. Mobile Date Updated—The system date and time of the last update on Mobile is displayed.

  30. Error Message—Populates an error message when an error is encountered during the submission of updates for processing.

    Click Submit to save the changes for the checklist items that were modified.

    The system also performs additional actions on certain checklist items, as follows:

    1. Process meter readings of updated checklist items of the type ‘Meter Reading.’ This may release PM work orders that have now reached their meter due.

      The system only handles meter readings of type ‘Reading.’ You cannot enter readings of type ‘Difference’ using checklists. The system uses the target equipment concept as defined on the Meter Readings tab of the Work Orders screen. That means the meter reading is applied to the target equipment, providing one parent (the target) that meets the selection criteria can be identified. If more than one parent is found, the system reverts to booking the meter reading to the equipment of the checklist item itself.

    2. Process inspection results of updated checklist items of the type ‘Inspection.’

      Inserts and or updates to the inspection records on the Inspections tab of the Work Orders screen are applied. These updates are based on the collected checklist data, but only if the checklist item refers to an actual Inspection Point and the Inspection Route Status of the work order is still ‘Unfinished.’

      The system updates the existing inspection result record where the Inspection Point, the Aspect, and the Point Type of the checklist item match that of the inspection result record, or if this record does not exist, a new inspection result record for this inspection point will be created and added to the work order. This ensures that set-up of the inspections and the collection of inspection results using checklists is simple.

    3. For checklist item Type of OK/Repair Needed, if the Repairs Needed check box is selected and Required is Regulatory, then:

      • If Resolution is blank, the system will switch the Operational Status of the equipment to ‘Non-Operational’ (System Codes EOST entity), if not already.

      • If Resolution is set to Temporary Repair, the Follow-up check box will be automatically turned on. A temporary repair will not influence the Operational Status of the equipment.

        The reason for doing the above action(s) is because, equipment with unresolved regulatory items cannot be put into service again.

    4. Find tolerance data for the value entered for a ‘Nonconformity Measurement.’ These tolerance records must be attached to the same Aspect as that of the checklist item. Additional selection criteria include the Equipment Class, Category, Point Type, and the Equipment Size for Tolerance.

      If a tolerance record is found, the system will populate the following fields from that tolerance record:

      • Tolerance Create Nonconformity

      • Tolerance Severity

      • Tolerance Nonconformity Type

      • Tolerance Nonconformity Type Org.

      • Additionally, the system will also set OK, Nonconformity, Severity, Nonconformity Type and Nonconformity Type Org. based on this tolerance record, providing you did not select OK and Nonconformity. If you select either of these two last fields the system assumes you have already determined what data you want to enter, and therefore will accept that without overwriting.

        SHARED Tip The editable grid that displays the checklist does offer lookups for certain fields as mentioned above, like for Direction and Severity, for example. Editable grids do not support showing the typical lookup icon, but the lookup can still be accessed using the F9 key.
