This procedure allows you to process the fund requests by selected fund.

  1. In the Allocate by Fund Details panel, click the Submitted tab.

  2. Click the Fund ellipsis to select the required fund. The fund requests submitted for the selected fund appear.

  3. Perform any of the following actions,

    1. Allocate the requested amount completely:

      1. Click the Fund ellipsis to select a different fund.

        If the Fund Request Type is Additional, then a new fund must be selected.

      2. Click the Approve hyperlink. The Approve Fund Request dialog box appears.

      3. (Optional) Type a Comment.

      4. Click the Run button. The Approve Fund Request confirmation dialog box appears.

      5. Click the OK button. This removes the fund line item from the Submitted tab.

      6. Click the All Requests tab, the requested amount approved appears in Approved to Spend column and the Fund Request Line Status column changes to Full Allocation.

        If the Fund Request Type is Additional: when it is approved, a new line item appears on the Allocated tab. A log entry appears on the Log tab, where the Original Fund ID and Allocated Fund ID appear.

      7. Email notifications are sent to the fund requester. Each workflow user identified for the fund referenced in the fund request line item will also receive an email.

    2. Allocate the requested amount partially:

      1. Click the Fund ellipsis to select a different fund.

        If the Fund Request Type is Additional, then a new fund must be selected.

      2. Click the Partial Allocation hyperlink. The Partially Approve Fund Request dialog box appears.

      3. Type the required amount to be approved in the Approved to Spend box.

      4. (Optional) Type a Comment.

      5. Click the Run button. The Partially Approve Fund Request confirmation dialog box appears.

      6. Click the OK button. This removes the fund line item from the Submitted tab.

      7. Click the All Requests tab, the partial amount approved appears in Approved to Spend column and Fund Request Line Status column changes to Partial Allocation.

        If the Fund Request Type is Additional: when it is approved, a new line item appears on the Allocated tab. A log entry appears on the Log tab, where the Original Fund ID and Allocated Fund ID appear.

      8. Email notifications are sent to the fund requestor. Each workflow user identified for the fund referenced in the fund request line item will also receive an email.

    3. Reject the requested amount:

      1. Click the Reject hyperlink. The Reject Fund Request dialog box appears.

      2. (Optional) Type a Comment.

      3. Click the Run button. The Reject Fund Request confirmation dialog box appears.

      4. Click the OK button. This removes the fund line item from the Submitted tab.

      5. Click the All Requests, the requested amount approved appears in Approved to Spend column and Fund Request Line Status column changes to No Allocation.

      6. Email notifications are sent to the fund requestor. Each workflow user identified for the fund referenced in the fund request line item will also receive an email.

        To view the log entry, click the Log tab.
