SDx Projects delivers automated workflows to assist in the collaboration between companies and and their contractors.

The automated workflows manage deliverable submittals, technical queries, actions, document reviews, and the closing of reviews. For example, the document review workflow includes steps for the individual reviewers, consolidators, and, if needed, the compliance reviewer. The process determines the due date for the reviews based on the contractual obligation. The status and results of reviews and associated actions are tracked and reportable.

Non-working days are omitted by default while calculating the due date on action, technical query, and transmittal workflows.

What they can do

Consolidator

The consolidator can:

  • Determine how a review proceeds by either:

    • Rejecting the review and sending any rejected actions back to the reviewer for rework.

      For any rejected actions, the state of the review and actions are set to DRAFT REJECTED. If the rejected actions are associated with a markup layer and that layer is selected to return to the contractor, warnings are given that the selected layer contains unapproved actions. The consolidator cannot complete the process to issue the document reviews to the contractor until the action is resolved, deleted, or moved to a markup layer that is not selected to return to the contractor.

    • Completing the consolidation of reviews, actions and comments and issuing them to the contractor.

    • Add one or more users as document reviewers during the review process.

      • When a consolidator adds a user, who has a document receipt notification step, as a reviewer, the document receipt notification step is replaced by a review step.

      • The new review step is assigned the same target date as that of the original step. If the review is already overdue, the added reviewer will receive an overdue step.

  • View and edit any reviews, actions, and comments in a DRAFT or RESERVED state, prior to submission for contract compliance review.

  • View all supporting documentation for every review, action, or comment.

  • View the markup layers and select which markup layers you want to associate with a specific action.

  • Make changes to the reviews, actions, or comments and then reconsolidate if a document review is rejected after a contractual compliance review.

  • Send technical queries if more information is required on an action or comment.

Contractual compliance reviewer

The contractual compliance reviewer can:

  • View any markup layers associated with an action as view only in the Manage Markup Layers page.

  • Set a review action status to DRAFT REJECTED when any actions are not valid. Those actions are sent back to the consolidator for rework.

    If the rejected actions are associated with a markup layer and that layer is selected to return to the contractor, warnings are given that the selected layer contains unapproved actions. If the compliance reviewer rejects any actions, the consolidator cannot issue the document review until the actions are resolved, deleted, or moved to a markup layer that is not selected to return to the contractor.

  • Set the document review action on a workflow path for reconsolidation by the consolidator.

Document reviewer

As a document reviewer, you can:

  • Create a review plan, which is used by the system to generate the documents for the reviewer.

  • Explore all the data related to the document during the review.

  • Conduct the document review, add markups on top of the original document, and add actions and comments to the review.

  • Raise a technical query inside your company to request help or information and outside your company to ask questions of the contractor.

  • Update and delete your draft comments.

  • Update and delete your reserved actions before the document review is completed.

  • View, as read-only, the reviews, actions, and comments that are in the initiated state from other reviewers.

  • Set your document review to waived.

  • Set your document review to completed, which changes the state to INITIATED and makes the review available to other reviewers and the consolidator.

Technical query response consolidator

The technical query response consolidator determines how a response proceeds by:

  • Completing the consolidation of responses, markup layers, and updates before issuing them back to the originator.

  • Suppressing the responses to stop further processing.

  • Viewing or editing any documentation for each response before submission for a contract compliance review.

The consolidator cannot complete a response until all responses are either resolved, suppressed, or moved to a markup layer selected for the response.
