Make changes to content to ensure it is kept current.

About this task

The process of editing a document is basically the same for a document template, a decoupled document, or a traditional document.

Procedure

  1. On the menu, use one of the following options to find your document:

    1. In the Quick search field, enter the name of your document.

    2. Navigate to Search, and click All content. Enter part of the title and click Search.

  2. Select your document and click Edit.

    Impact to all versions and user access. Changing the value for domain, access or properties in the About this content section, automatically updates all versions, including the latest published version. Changing domain can also potentially impact user access to that content if the user does not have access to the domain. Before modifying domain, access and/or properties, verify changes are justified.

  3. Make the required changes.

  4. If your edits impact published content, follow these steps:

    SHARED Tip A window opens to show published content that is affected by your change.

    1. Click a document title to view the changes in the affected document.

    2. The Preview window displays the document, as well as a warning indicating that the document is a preview version. The document status is "Draft" and the version number in the History section is indicated as "Preview." Statements that are new or modified since the last time the content was published are flagged with NEW. The affected content also shows any flows that are impacted.

    3. Click the "x" icon to the right of the title being previewed to close and return to the list of documents.

    4. In the Version comment field, type a comment to identify the change that was made.

    5. Select one of the following actions for each of the affected documents:

      Reason

      Publish

      Creates a new published version of the document and retains the existing expiry date. This Publish option is available only when there are no other existing drafts of the content. If there are document completions in progress, they continue to use the version prior to the change.

      When the content requires changes that are significant enough to warrant an immediate update.

      Retract

      Places the document into Draft and revokes the published version. Document is no longer available for completion.

      When the content requires immediate removal from circulation. Perhaps because the content is incorrect and could cause a serious incident.

      Draft (Default)

      Leaves the current published version available to the users. A separate draft version with your changes is created and ready for review.

      When the change is not critical, such as a typo. The changes are applied the next time the content is published.

  5. Click Preview.

  6. Click Save.
