About this task

The system displays the Preview content changes page when you modify content that impacts published content.

Procedure

  1. Click a document title to view the changes in the affected document.

    The Preview window displays the document, as well as a warning indicating that the document is a preview version. The document status is "Draft" and the version number in the History section is indicated as "Preview." Statements that are new or modified since the last time the content was published are flagged with NEW. The affected content also shows any flows that are impacted.

  2. If you were viewing an affected document, click the "x" icon to the right of the title being previewed to close and return to the list of documents.

  3. In the Version comment field, type a comment to identify the change that was made.

  4. Select one of the following actions for each of the affected documents:

    Reason

    Publish

    Creates a new published version of the document and retains the existing expiry date. This Publish option is available only when there are no other existing drafts of the content. If there are document completions in progress, they continue to use the version prior to the change.

    When the content requires changes that are significant enough to warrant an immediate update.

    Retract

    Places the document into Draft and revokes the published version. Document is no longer available for completion.

    When the content requires immediate removal from circulation. Perhaps because the content is incorrect and could cause a serious incident.

    (Default)

    Draft

    Leaves the current published version available to the users. A separate draft version with your changes is created and ready for review.

    When the change is not critical, such as a typo. The changes are applied the next time the content is published.

    • If the option to publish is disabled, this indicates that the content already has an existing draft version with additional changes, undefined variables, or undefined reference links.

    • If you want to apply the same action to all affected content -- Click one of the headers -- Publish, Retract or Draft.

    • A workflow can be started for all affected content that is listed.

    • You can select a default workflow for all or if there is published content in the list that requires a different workflow than the default, you can individually select that workflow.

    • When a workflow is chosen, the initial task is created and assigned to the Resource Pool.

  5. Select a workflow that applies to all affected content or apply separate workflows for individual content:

    • Apply to all -- Select a workflow from the drop-down list to apply for all affected content.

    • Individually select a review workflow from the drop-down list beside each item or leave as None.

    To select the default action of Draft status with no workflows started, click Save.

    When a workflow is chosen, the initial task is created and assigned to the Resource Pool.

  6. Click Save.
