Make changes to content to ensure it is kept current.

About this task

The process of editing a document is basically the same for a document template, a decoupled document, or a traditional document. But keep in mind the following:

  • Editing a document template results in changes to all documents generated from that template unless the change was specific to an asset or attribute selection.

  • When editing an asset-specific document, only the document information can be changed. If the document requires changes that cannot be made in the template, it must first be decoupled so that it can be edited as a standalone document.

Procedure

  1. If you are modifying a template, follow these steps:

    1. On the menu, navigate to Manage and click Templates.

      The list of templates displays and is sorted by Asset type.

    2. Select the template to modify from the list.

    3. Click Edit template.

  2. If you are modifying an asset-specific document, follow these steps:

    1. On the menu, navigate to Search, and click Assets.

      If this option is not available, then it has been disabled by your administrator.

    2. In the Asset ID field, do one of the following:

      • Type part or all of the asset ID

      • Click Show filters , and in the Asset type field, select an Asset ID from the drop-down list.

    3. Select the content title from the list.

  3. If you are modifying the title or properties only, click Edit coupled document.

  4. If you are modifying content that cannot be modified in the template, follow these steps:

    1. You must first decouple the content. See Decoupling generated content.

      Changes made to a decoupled document are lost if the content is recoupled to the template.

    2. Click Edit decoupled document.

  5. (Optional) If enabled, click the book icon to check the readability of the content.

    This ensures content complies with acceptable reading standards.

  6. Click Preview.

  7. Click Save.

Results

The document version number and history are updated on the Document page.
