Complete your content online, so that your progress is tracked in real time.

Before you begin

  • You must be logged in to AcceleratorKMS, using a web browser.

  • You have a role required to complete a step in the content.

  • You can access the content.

About this task

During an online completion, progress is saved immediately.

When you complete content along with another user, you are able to see their completed steps in real-time without having to refresh the screen.

Procedure

SHARED Tip AcceleratorKMS automatically generates a unique ID for each completion, which displays in the Completion section, as well as under the Completion title in completion search and widgets. You can use this ID when searching in Completion History. The ID indicates year, month, and a four-digit number that increases and is reset monthly.

  • If you want to complete a procedure at a later time, click Resume later or close the browser.

  • After a completion is completed, you cannot edit or delete the completion comments. You can, however, add comments and edit/delete them post completion.

  • Some statements have attached documents or images, others may contain a More details link. Click More details to view the information.

  • If a statement requires a decision, such as Yes or No, you might notice that the remaining statements in the content change. These changes are based on your response to the statement.

  • If a statement requires you to enter text, there is a character limit of 8,000 characters.

Start a new completion

  1. Navigate to the content to be completed.

  2. Expand the Completions section.

  3. Click Start new.

    Role selection appears if the content requires more than one role and you have those roles. You must select the role(s) you will be performing within the completion.

  4. Click OK.

    • Content statements must be completed as determined by the completion sequence. Completion sequence can be the following:

      • None - Steps can be completed in any order

      • Role - Steps for each role must be completed in order.

      • Strict - All steps are completed in order, regardless of role.

    • If a newer version of the content is published while a completion is in progress, a message appears within the completion to indicate that a newer version exists. The message provides options to either continue with the existing completion or view the latest version. If you chose to start a new completion using the latest version, remember to mark the first completion as Complete, so that it is not left active.

  5. If you need to add a comment to a statement or skip a statement

    1. From Action menu, select the required comment type or select Comment to choose another comment type.

    2. Enter a comment in the comment field(s).

    3. (Optional) Tag a user to notify them of the comment; this will send the user an email notification. Tag a user by entering their name or email address then selecting them from the list that appears.

    4. (Optional) Click Add attachment if you want to add an attachment to your comment. The maximum file size is 98 MB. Various file formats are supported. We recommend that you reach out to your administrator for the full list, as it is configurable.

    5. Click Save or Skip.

    If configured for the comment type, adding a comment will create a task on the content.

    SHARED Tip If the ability to add a comment is disabled, then you have another comment in progress. Save or cancel that comment so that you can add or edit another comment.

  6. If the statement type requires a scan code value or data collection, enter the data collection value or use the camera on your device to scan the barcode or QR code. During a completion, users can scan text and numeric inputs for the configured data collection statements.

    You can enter a data collection value of up to 8,000 characters.

  7. After you finish all statements, click Complete.

    This returns you to the task so that it can be transitioned and shows a link the Completion. This link is saved and accessible within the Task History.

  • If a statement or sub content was changed or added since you last completed or acknowledged the content, it is indicated with a "NEW" icon beside the step or sub content.

  • The person responsible for the last actionable statement in the content should complete the content.

    In addition, if you click Complete without first having completed all steps, you will be prompted to add a comment to override the incomplete statement status and the content will complete anyway.

  • There is no actual dependency between a statement and its associated sub-statements, therefore, when a statement contains sub-statements, the sub-statements also need to be completed.

Resume a completion that is assigned to you

  1. On the menu, navigate to View and click My completions.

  2. Click the content title to navigate to the completion you want to resume.

  3. If you need to add a comment to a statement or skip a statement

    1. From Action menu, select the required comment type or select Comment to choose another comment type.

    2. Enter a comment in the comment field(s).

    3. (Optional) Tag a user to notify them of the comment; this will send the user an email notification. Tag a user by entering their name or email address then selecting them from the list that appears.

    4. (Optional) Click Add attachment if you want to add an attachment to your comment. The maximum file size is 100 MB.

    5. Click Save or Skip.

    If configured for the comment type, adding a comment will create a task on the content.

    SHARED Tip If the ability to add a comment is disabled, then you have another comment in progress. Save or cancel that comment so that you can add or edit another comment.

  4. If the statement type requires a scan code value or data collection, enter the data collection value or use the camera on your device to scan the barcode or QR code. During a completion, users can scan text and numeric inputs for the configured data collection statements.
