Before you begin

  • Requires an account with the Administrator role or an account with a role that includes the "Add or edit content type" role operation.

  • Consider the intent of the new content type you want to create to ensure it meets your company's standards and does not conflict with other content types.

About this task

Create new content types to make these types available to authors for creating individual units of content for publishing to end users. Content types can be configured with a base type of Document or Flow.

Procedure

  1. On the menu bar, click the gear icon > Content types.

  2. Click Add new content type.

  3. In the Add content type window, complete each field.

    Content type fields

    Name

    Description

    Name

    Name of the content type, which must be unique. The name appears as an option when creating new content and is also used as a search filter when searching content.

    Plural name

    Name as a plural, for example, Procedures.

    Description

    Text appears when you hover over a content type, describing the type of content.

    Base type

    Provides a list of base types, Default base types: Document or Flow

    Required properties

    Provides a list of all available properties. Select the properties you want to include as mandatory properties on all units of content created with this content type.

    Style sets

    Select style set to use for the content type.

    Options

    Completions

    Select when completions for content are necessary. The options include

    Multiple completions - allows more than one completion of the content at the same time

    Restrict to workflows - appears only when Document is selected as the the content type's base type, the completions will be part of a workflow tasks only, and completions are excluded from completion widgets

    Completion sequence - only appears when Base type = Document

    Acknowledgements

    Select when content requires an acknowledgement. Enter the text you want to appear in the acknowledgement.

    Acts as organic review - only appears when Organic review is enabled

    Organic review

    Only appears when Completions and/or Acknowledgements is selected. This option is enabled by default with 36 months. Organic review enabled content is represented by a leaf icon and tooltip information. You can change the number of months or disable this option if desired. When you disable Organic review, the Organic review (months) field disappears.

    Expiry

    Expiry warning workflow

    Select the workflow to be started when content reaches the expiry warning period.

    Default content expiry

    Specify the default number of months after which content expires. This default can be overwritten when a piece of content is published.

    Expiry warning period

    Specify the number of days before expiry that a message will appear on content indicating that expiry is approaching. The number of days also relates to when the expiry warning workflow task, if selected, will be created.

    Individual acknowledgement expiry

    Specify the number of days between acknowledgements or completions by an individual user associated to the content. Only appears when Acknowledgements are enabled.

    Step summary headings

    Within the content's PDF output, the steps within identified section headers are summarized at the top of the PDF. The summary only includes the first level of completable steps found in the specified sections.

    It is not recommended to disable a content type's Restrict to workflows option if there are active completions for that content type. If the option must be disabled, all related active completions should first be completed.

  4. Click Save.

Results

A new content type is created.
