Manage the domain hierarchy defined in the index to provide structural organization.

Before you begin

  • Requires an account with the Administrator role or an account that includes the "Manage domains" role operation

  • If exporting content from AcceleratorKMS, do not use the following symbols within domain names as the export destination can misinterpret them: " * : < > ? / \ |

About this task

The index provides a hierarchical tree structure of all domains and descendant domains. When a domain tree is in place, user accounts are assigned to specific domains and roles are assigned to the user within those domains. Therefore, the user can only see the content that is within their assigned domains and has access based on their defined role assignments.

The index has two views:

  • Manage domains - Used to build and manage the hierarchical tree structure of all domains and their descendant domains.

  • Content by domain - Shows the same hierarchical domain tree structure as above and includes the content (documents and flows) within those domains.

The content that appears under each domain is based on the access and domain settings defined on the content.

SHARED Tip When defining domain nodes in the index, it is possible and may be necessary to use the same name on more than one domain node. However, it is important to ensure that the full path string of a domain is unique. That is, that the name of the direct parent node is unique. For example, "Domain X > Site A" and "Domain Y > Site A" or "Domain X > Department A > Site A" and "Domain X > Department B > Site A".

Changing the domain on your content and saving as draft automatically updates all of its versions, including the published version if one exists. In addition, changing the domain can potentially impact user access to that content.

For example, if a user changes the domain in a draft version of DocumentX from Domain A to Domain B, the content draft and published versions are now visible in Domain B and no longer visible in Domain A. Likewise, users in Domain A may no longer have access to the draft or published versions of DocumentX. However, users in Domain B can now see DocumentX.

Procedure

  1. Access the Manage domains page by using one of the following:

    1. On the menu, navigate to View and click Index.

    2. Click Manage Domains or on the menu bar, click the gear icon > Domains.

    SHARED Tip The system displays the domain hierarchy.

    You can drag/drop a folder and its nested content up/down to reorder the domains at any given level. However, you cannot move a domain to a new parent domain.

  2. If you are modifying the name of a domain, follow these steps:

    1. Navigate to the location of the domain.

    2. Click the edit icon.

    3. In the edit field, enter the name change, and click Save.

  3. If you are adding a new domain, follow these steps:

    1. Move your cursor to where you want to add a new domain and click the green bar to insert at that location.

    2. In the field, type the new domain name, and click Insert.

Results

The domain has been modified or a new domain added.
